Microsoft Teams meeting organizers can now manage who gets access to a meeting recording, transcript, AI recap, and Microsoft Copilot for Microsoft 365. 

When this will happen:

Targeted Release: We will begin rolling out in early June 2024 and expect to complete by mid-June 2024.

General Availability: We will begin rolling out mid-June 2024 and expect to complete by late June 2024.

How this will affect your organization:

This new feature is a meeting option that you can access on the Recording and transcript tab > Who has access to the recording and transcript. Here's how it works:

  1. Everyone: Anyone with the meeting link or nudged into the meeting has access.
  2. Organizer and Co-organizers: Only the people who organized the meeting have access.
  3. Specific People: Besides the organizers, you can choose specific individuals who have access.

By default, the setting is Everyone, but you can change it before the meeting starts. Any changes made during the meeting will apply to the next instance of the meeting.

This functionality is only available to users who have a Copilot for Microsoft 365 license. To those users, it is available by default.

What you need to do to prepare:

This rollout will happen automatically with no admin action required. You may want to notify your users about this change and update any relevant documentation as appropriate.
