Summary
                Microsoft Teams Rooms on Android will soon allow users to join meetings by scanning a QR code displayed on the Teams Room home screen with their mobile device. The feature will be available with the Teams Rooms on Android 2.2 release for all Teams Rooms licenses. The QR code will refresh every minute and can be enabled or disabled by IT admins in the device settings or Teams admin center. After scanning the QR code, users can select a meeting on their mobile calendar to join with the room system or start an ad-hoc meeting. The room automatically accepts the nudge from the mobile device and joins the meeting without additional user action. For security purposes, if the user takes more than two minutes to select an action on mobile after scanning the QR code, the room auto-accept functionality will be disabled, and the user will have to manually accept the call on the room system's touch console or touch display. The feature also supports cross-tenant meetings when the External access organization settings and user policies in the Teams admin center allow it.

Coming soon: Users can quickly join meetings from a Microsoft Teams Room on Android device by using their mobile device to scan a QR code displayed on the Teams Room home screen, without needing to forward meeting invitations to the room calendar. This feature will be rolling out with the Teams Rooms on Android 2.2 release for all Teams Rooms licenses.

When this will happen:

General Availability (Worldwide, GCC, GCC High): We will begin rolling out late April 2024 (previously mid-April) and expect to complete by late June 2024 (previously late May). Note that there can be a delay between when features are released by Microsoft and when they become available on a device model and make.

How this will affect your organization:

A new QR code that refreshes every minute will be shown by default on the Teams Room home screen. IT admins can choose to enable or disable the functionality in the device settings or in the Teams admin center. When the feature is disabled, the QR code will not be visible on the home screen.

After scanning the QR code with a mobile camera, users can select any meeting on their mobile calendar that is taking place at that moment or starting in the next 10 minutes to join with the room system. Users also will have the option to start an ad-hoc meeting or cast content from their mobile to the room display.

By default, the room automatically accepts the nudge from the mobile device and joins the meeting without additional user action. On Teams mobile, users will enter the room companion mode experience. For security purposes, if the user takes more than two minutes to select an action on mobile after scanning the QR code, the room auto-accept functionality will be disabled, and the user will have to manually accept the call on the room system's touch console or touch display. Admins can also disable the room auto-accept functionality for any QR code join in the device settings or in the Teams admin center.

This feature also supports cross-tenant meetings when the External access organization settings and user policies in the Teams admin center allow it.

For the best scanning experience, we recommend using built-in apps such as the dedicated Code Scanner app or the Camera app available on all iOS and Android devices. Scanning may not work on Android devices if the device has both work profile and personal profile enabled. If this is the case and the Teams app is in the work profile, admins must add the code scanner app and/or camera to the work profile as well. To add the camera app and/or code scanner app to the work profile, follow these steps:

  1. In the Intune admin center, go to Apps > Android and select Add.
  2. Select Android enterprise system app.
  3. Enter the type of Android device and then paste in the OS camera package name.
  4. Assign that package to the users or groups.

What you need to do to prepare:

This rollout will happen automatically by the specified date with no admin action required prior to the rollout.

After the rollout, plan to update all Teams Rooms on Android devices in your tenant to the latest version through the Teams admin center. After your devices are updated, you can notify your users about this change and update your training and documentation as appropriate.
