Summary
                Users can join meetings from a Microsoft Teams Room on Windows device by scanning a QR code on their mobile device. The feature will be available with the Teams Rooms on Windows 5.0 release and will roll out from late April to late May 2024. The room system automatically accepts the nudge from the mobile device and joins the meeting without additional user action. IT admins can disable the QR code feature or the room auto-accept functionality. The feature also supports cross-tenant meetings. Scanning may not work on Android devices with both work profile and personal profile enabled. No admin action is required before the rollout.

Microsoft has updated the final app version from 4.20 to 5.0. Thank you for your patience.

Coming soon: Users can quickly join meetings from a Microsoft Teams Room on Windows device by using their mobile device to scan a QR code displayed on the Teams Room home screen, without needing to forward meeting invitations to the room calendar. This feature will be rolling out with the Teams Rooms on Windows 5.0 release for all Teams Rooms licenses.

When this will happen:

General Availability (Worldwide, GCC, GCC High): We will begin rolling out late April 2024 (previously mid-April) and expect to complete by late May 2024 (previously mid-May).

How this will affect your organization:

A new QR code that refreshes every minute will be shown by default on the Teams Room home screen:

After scanning the QR code using a mobile camera, users can select any meeting on their mobile calendar that is taking place at that moment or starting in the next 10 minutes to join with the room system. Users will also have the options to start an ad-hoc meeting or cast content from their mobile to the room display:

By default, the room automatically accepts the nudge from the mobile device and joins the meeting without additional user action. On Teams mobile, users will enter the room companion mode experience. For security purposes, if the user takes more than two minutes to select an option on mobile after scanning the QR code, the room auto-accept functionality will be disabled, and the user will have to manually accept the call on the room system's touch console or touch display.

IT admins can disable the QR code feature via an XML setting or Teams admin center. When the feature is disabled, the QR code will not be visible on the home screen: <RoomQRcodeEnabled>false</RoomQRcodeEnabled>

IT admins can also disable the room auto-accept functionality for any QR code join via an XML setting or Teams admin center. When auto-accept is disabled, users will have to manually tap Accept on the room system's touch console or touch board for the room to enter the meeting: <QRCodeAutoAcceptProximateMeetingInvitations>false</QRCodeAutoAcceptProximateMeetingInvitations>

This feature also supports cross-tenant meetings when the External access organization settings and user policies in the Teams admin center allow it.

For the best scanning experience, we recommend using built-in apps such as the dedicated Code Scanner app or the Camera app that are available on all iOS and Android devices. Scanning may not work on Android devices if the device has both work profile and personal profile enabled. If this is the case and the Teams app is in the work profile, IT admins must add the code scanner app and/or camera app to the work profile as well. To add the camera app and/or code scanner app to the work profile, follow these steps:

  1. In the Intune admin center, go to Apps > Android and select Add.
  2. Select Android enterprise system app.
  3. Enter the type of Android device and then paste in the OS camera package name.
  4. Assign that package to the users or groups.

What you need to do to prepare:

This rollout will happen automatically by the specified date with no admin action required prior to the rollout.

After the rollout, once your Teams Rooms on Windows devices are updated to the 5.0 app, you can notify your users about this change and update your training and documentation as appropriate.

Note that existing custom backgrounds may be impacted due to this new UI element on the home screen. In the coming weeks, keep an eye out for the latest custom background templates and plan on updating your custom background as needed.
